PURPOSE       

The purpose of this policy is to define how Nutrition Services will provide support for caterings for Verde Valley Medical Center.  Caterings can be a costly expenditure for a department therefore it is recommend that staff utilize VVMC Cafeteria and Code Bean when possible.  Department charge cards are available to directors through Human Resources for use in both VVMC Cafeteria and Code Bean.

PROCEDURE

  1. Catering Requirements for delivery and set up by Nutrition Services Monday through Friday

  1. A minimum of ten people are required for service.

  2. The event will need to last longer than one hour in length.

  3. The event will need to be over one hundred dollars in total.

  4. Hot food items will be available for purchase and will be served in chafers.

  1. Small Caterings and Catering for Certain Cold or Shelf Stable Items

  1. Caterings less than ten people, under one hundred dollars and shorter than one hour are required to be picked up at Nutrition Services.

  2. Orders for certain cold or shelf stable items, such as cookies, cold sandwiches, pastries, coffee, cold beverages, deli platters, fruit platters, etc.… can be picked up at Nutrition Services prior to event.    

  3. Hot food for smaller caterings will not be available for purchase.

Submitting Catering Orders
  1. All orders are required to be submitted three days prior to event

  2. All payment information (Cost Center, Cash, Credit Card, etc…) will be required before or at time of the event. 

  3. Upon Submission the caterer will be in contact with you in regards to whether your order is approved and if you will need to pick up there order in café/ if we will be delivering it.

Set up and clean up for event
  1. Nutrition Service employee will set up food, silverware/plastic ware, cups, plates and drinks

  2. All other set up for event will be such  as table, placement, table cloths and decoration will be handled by event planner.

  3. Nutrition Services will pick up all food items, catering equipment and wipe down all tables used for food event set up. 

  4. If Nutrition Services does not deliver the event or set up, the event planner will be responsible for returning all equipment to Nutrition Services.  Missing equipment will be added to cost of catering if not returned to Nutrition Services.

  1. Cancelled Events

  1. Events cancelled the day before event or the same day as event will be charged in full.

Special Event Community Functions, Special Events (such as L.O.V. award), Weekend Caterings, Off Site Events and Administration requests will be considered and reviewed.  These functions will require additional seven days’ notice to properly staff event.
